The basics
What is an AI web receptionist?
Software that sits on your clinic website and does the front-desk job for the people who land there: replies in seconds, answers routine questions, works out what the visitor needs, captures their name and number, and hands them to your team. It covers the website channel, not your phone line.
Is this a CRM or backend system?
No. It's a live AI chat that replies directly to people messaging your website — nothing to log into, nothing for your staff to learn. Think of it as a receptionist who never sleeps, not new software.
Does it replace my front desk?
No. It only catches the moments nobody's free to answer — nights, lunch breaks, weekends. Your team still runs the clinic; CareLayer just makes sure no message dies in silence before they see it.
How is this different from a normal chatbot?
A normal chatbot follows a fixed script or button menu and breaks the moment someone types something it wasn’t built for. CareLayer understands questions in the patient’s own words. What matters is whether a real, contactable enquiry reached your clinic — not whether a conversation flow completed.
Is it the same as an AI phone receptionist?
No — different channel entirely. A voice AI picks up your telephone line. CareLayer answers people already on your website, which a phone agent simply can’t see or reply to. Some clinics eventually run both; most independent clinics have the bigger unattended gap on the website side.
What does CareLayer actually do, step by step?
Five things: it answers instantly 24/7, but only from facts your clinic actually gave us; it works out what the patient needs; it captures their name and phone number with consent; then it alerts your team by email and Slack with the full conversation.
For dental clinics
Can it book dental appointments?
It captures the enquiry and shares your existing booking link so the patient can self-book, or hands your team a ready-to-call lead. It doesn’t write directly into a practice-management system — that’s a much more expensive tier of tool, and for most independent clinics, not worth the difference.
Can it answer questions about dental treatments?
It can explain what a treatment generally involves and whether your clinic offers it, using the information you gave us. It won’t assess a patient’s specific case, suggest what they need, or say anything that reads as clinical advice — those go to a human every time.
Can it handle after-hours dental enquiries?
That’s the main reason clinics buy it. Roughly 43% of appointments are booked outside office hours (Zocdoc, 2025), and around 31% of patient enquiries never reach a live person at all (Patient Prism, across 8,280 dental and DSO locations). CareLayer answers those in seconds instead of leaving them until morning.
Can it tell whether a patient is new or returning?
Yes, it establishes that during the conversation and includes it in the alert your team receives — useful because new-patient enquiries are the ones most likely to be lost. In one 26-practice study, new patient calls converted at 25% against 56% for existing patients (Peerlogic, February 2026).
What happens with an emergency or someone in pain?
It recognises urgency, doesn’t try to diagnose the problem, and gets that person to a human fast — it captures their contact details and flags the alert as urgent, not routine.
Is it suitable for a small 1-2 chair clinic?
That’s the clinic type it was built for. The only real requirement is that your website already gets visitors — usually from Google or Instagram ads. CareLayer answers demand that’s already there; it doesn’t create new traffic.
UAE, language & compliance
Is CareLayer suitable for UAE dental clinics?
It’s built for them specifically — the guardrails are designed around UAE health-advertising rules, pricing is quoted in a way that fits this market, and it handles Arabic natively rather than as an afterthought.
Does CareLayer support Arabic?
Yes — Arabic, English and Hindi. It replies in whichever language the visitor writes in, from their very first message, and switches to right-to-left layout automatically. Nobody has to pick a language first.
Is having an AI chatbot on a clinic website legal in the UAE?
Yes, with conditions — the constraints come from health-advertising rules and data-protection law, not from a ban on chatbots. The practical boundaries are no invented prices, no insurance confirmations, and no medical advice — CareLayer is built to respect all three. Our compliance guide covers this in detail.
How is patient consent handled?
Visitors see a clear privacy notice and give explicit consent at the start of the chat, before any details are captured, and we log that consent with a timestamp against the enquiry.
Is patient data handled safely?
Yes — built around UAE data-protection law (PDPL). Visitors see a clear privacy notice and give explicit consent at the start of the chat before any details are captured.
What data does it actually collect?
A name, a phone number, and what the patient said they were interested in. It’s built not to collect clinical or diagnostic detail — it isn’t allowed to discuss that in the first place.
Technical & setup
How fast can it go live?
One line of code on your site. From the moment you send us your clinic's details, it's live within 48 hours.
Does it connect to my booking system or PMS?
It shares your existing booking link (Calendly, cal.com, Setmore — whatever you already use) so patients can self-book, or hands your team a ready-to-call lead if you’d rather confirm by phone. No complex integration, nothing to migrate.
Does it work with WordPress, Wix or a custom-built site?
Any of them. It’s a single script tag pasted into your site’s HTML, so it works the same whether your site is WordPress, Wix, Squarespace, Webflow or hand-built. No plugin needed.
Do I need a CRM for this to work?
No. Captured enquiries arrive by email and Slack with the full conversation attached. If you already run a CRM you can forward them into it, but nothing about CareLayer requires one.
Does my team have to monitor a dashboard?
No, and that’s the main difference from human live-chat tools. Nobody sits watching a console — we push the enquiry to your team the moment there’s something to act on.
How do I know it will not say something wrong about my clinic?
It answers only from the facts you give us — hours, services, location, languages, booking link. Anything outside that, it hands to a human instead of guessing. It never fills a gap with a plausible-sounding invention.
Can someone copy the widget onto another website?
No. Each installation is locked to your clinic’s domain, so the widget won’t run anywhere else.
Pricing & commercial
How much does CareLayer cost?
The founding-clinic rate — for our first 3 clinics — is AED 2,500 for the 30-day Missed Patient Recovery Pilot, paid up front. We measure how your clinic handles patient enquiries today, run CareLayer on your website for 30 days with a weekly report, then measure again — the before-and-after is what you’re buying. It continues afterwards at AED 800 per month. Once the founding cohort is done, the standard rate is AED 6,000-9,000 up front, then AED 1,500 per month. If you only want the measurement, the Front Door Audit is AED 1,500 one-off with nothing installed.
Is there a setup fee, and is it one-time?
There’s no separate setup fee any more. The founding-clinic pilot (first 3 clinics) is one up-front project price of AED 2,500 that already includes the measurement, configuring the assistant with your clinic’s details, testing it in each language before it goes live, the weekly reports, and the day-30 re-measurement. After the 30 days it continues at AED 800 per month, with nothing further to pay to set up. Once the founding cohort is done, the standard project price is AED 6,000-9,000, then AED 1,500 per month.
What happens if it does not generate any leads?
There’s a 30-day money-back guarantee — if CareLayer doesn’t capture new patient enquiries in the first 30 days, you get a full refund. There’s also no long-term contract; you can cancel any time.
AI receptionist versus hiring another receptionist — which makes sense?
They solve different problems. A second receptionist adds capacity during opening hours; CareLayer covers the hours nobody is there at all, which is where a large share of enquiries actually arrive. For most independent clinics the honest answer is that this is not an either/or decision.
How does the price compare to other AI receptionists in the UAE?
Across eight tools marketed to UAE clinics, published monthly pricing runs from about AED 110 to AED 3,500+. CareLayer sits in the dental-trained website-chat tier. Our cost guide breaks down all eight, including the ones cheaper than us.
Do I have to commit to a contract?
No long-term contract. Cancel anytime, and the first 30 days are covered by the money-back guarantee.
